Privacy Policy

1. Introduction

MyClassStudio (“we,” “our,” or “us”) operates the MyClassStudio platform, a class and studio management service available at myclass.studio (the “Service”). This Privacy Policy explains what personal information we collect, how we use it, and the choices you have.

By using the Service, you agree to the collection and use of information as described in this policy.

2. Who This Service Is For

The Service is intended for users who are 13 years of age or older. We do not knowingly allow children under 13 to create their own accounts, and we confirm age at registration. If you are under 13, you may not create an account.

A parent or guardian may add a child under 13 as a managed Student Profile under the parent's or guardian's own account. By doing so, the parent or guardian provides consent for our collection and use of that child's information. The information associated with a managed profile is limited to what is needed to participate in a school's activities — such as the child's name, an optional date of birth, optional profile photo, enrollment and attendance records, progress notes, and the responses and attached documents for forms the school sends about that child. We do not require more personal information from a child than is reasonably necessary, and we do not use it for advertising or sell it.

A parent or guardian can review, update, or delete a managed Student Profile and its information at any time from their account, or by contacting us at privacy@myclass.studio. If we discover that we have inadvertently collected personal information from a child under 13 without the required parental consent, we will delete that information promptly.

3. Information We Collect

Information you provide

  • Account information: name, email address, and password (for email/password accounts).
  • Profile information: profile photo (optional), date of birth for managed student profiles (optional).
  • Date of birth: collected when you register, and used to confirm you meet our minimum age requirement (see “Who This Service Is For” above), to decide whether you may sign a form your school has marked as needing a parent or guardian, and to decide whether you may take over a managed Student Profile as your own account. It is held on your account and is not shown to your school.
  • Form responses: the answers you give on forms a school sends you — including your typed name where a form asks for a signature, and the date and time you submitted it. Schools write their own forms, so what a form asks for is set by the school rather than by us.
  • Documents you attach to a form: where a school's form asks for a file, we store the document you upload. Schools use these to collect things like medical or immunization records, so an attachment may contain health information about you or your child. It is readable only by the people the form was sent to and by that school's administrators, and it is deleted with the response it belongs to (see “Data Retention” below).
  • Payment information: when a school collects payments through the Service, payment card details are entered directly with our payment processor, Stripe. We do not collect or store full card numbers; we retain only transaction records (amounts, dates, and status) needed to operate the Service.
  • School information: school name, address, contact details, activity type, and description (for School Admins).
  • Communications: messages or support requests you send us.

Information you provide when you request a demo

You do not need an account to ask us for a demo, and the information below is collected from people who are not account holders. If you fill in our demo request form, we collect:

  • Your contact details: your name, email address, and phone number (optional).
  • Your school: its name, the type of activity it teaches, your role there, and an approximate number of students.
  • What you tell us: any message you write, and the times you say you are available to talk.
  • Where you came from: which page or button you used to reach the form, so we can tell which parts of our site are useful.
  • Your marketing choice: whether you ticked the box asking for product news, together with the date, time, and IP address of that choice. We keep those last three as evidence of what you agreed to and when.

We use this information to reply to you about a demo, and to understand which schools are interested in the Service. We only send you marketing email if you asked for it, and you can unsubscribe at any time. Replying to your enquiry is not marketing — we will do that whether or not you tick the box.

Our staff may also record the status of your enquiry and their own notes about it. We keep an enquiry for as long as we may still act on it. If you ask us to delete it, we will delete it and those notes; see “Your Rights and Choices” below.

Information your school records about you

A school you join keeps its own records about your participation, and those records live in the Service. They include:

  • Enrollment and membership: the classes and groups you belong to, your membership status, and any discount the school applies to you.
  • Attendance: whether you were marked present at a session.
  • Progress: levels, ranks, or skills a teacher records for you, and notes a teacher writes about your progress.
  • Payments and registrations: what you were charged, what you paid, and which events, classes, or items it was for.

The school decides what to record. We store it on the school's behalf and use it to operate the Service — see “How We Share Your Information” for who inside a school can see it.

Information collected automatically

  • Usage data: pages visited, features used, and timestamps — used to improve the Service.
  • Device information: browser type, operating system, and IP address.

Information from third parties

  • Google Sign-In: if you choose to sign in with Google, we receive your name, email address, and profile photo from Google in accordance with the permissions you grant.

4. How We Use Your Information

We use your information to:

  • Create and manage your account.
  • Provide, operate, and improve the Service.
  • Send transactional emails (e.g., email verification, password resets, school invitations).
  • Respond to your support requests.
  • Ensure the security of the Service and prevent fraud.
  • Comply with legal obligations.

We do not sell your personal information to third parties. We do not use your information for behavioral advertising.

5. How We Share Your Information

We share personal information only in the following circumstances:

  • Within the platform: School Admins can see the names, email addresses, and enrollment details of students and teachers in their school, together with the records described above — attendance, progress, payments, and the responses and attached documents for any form their school sent. Teachers at a school can see its roster, attendance, and progress records. Students and teachers can see limited school and class information. A school only ever sees its own members: joining a second school does not show the first school's records to the second.
  • Hosting and infrastructure: We use Amazon Web Services (AWS) to host the Service, store data, send transactional email, and manage authentication. Your data is stored on AWS servers located in the United States. AWS acts as a data processor under our instructions.
  • Payment processing: We use Stripe to process subscription billing and the payments schools collect through the Service. When you make or receive a payment, the information needed to complete it is shared with Stripe and handled under Stripe's privacy policy.
  • Address lookup: When a School Admin enters a school address, we use the Google Maps Places API to suggest matching addresses; the text typed into that field is sent to Google to return suggestions, subject to Google's privacy policy.
  • Legal requirements: We may disclose information if required by law, court order, or government authority, or to protect the rights, property, or safety of MyClassStudio, our users, or the public.
  • Business transfers: If MyClassStudio is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your information is subject to a different privacy policy.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal or compliance reasons.

Form responses have their own schedule. Each school sets how long it keeps the responses to a form, counted from the date the form was signed; three years applies where a school has not set its own. When that period passes, the response and any documents attached to it are deleted automatically. One exception keeps a record that would otherwise disappear from under someone: where a form is a standing requirement, the most recent response from a current member of that school is kept while their membership lasts.

If you contacted us through the demo request form and never opened an account, there is no account for this to apply to. We keep that enquiry for as long as we may still act on it, and delete it on request — see “Information you provide when you request a demo” above.

7. Your Rights and Choices

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate information.
  • Request deletion of your personal information.
  • Object to or restrict certain processing of your information.
  • Request a copy of your information in a portable format.

To exercise these rights, contact us at privacy@myclass.studio. We will respond within 30 days.

8. Security

We implement industry-standard security measures, including encryption in transit (TLS) and at rest, and access controls through AWS Cognito. No method of transmission over the internet is 100% secure. If you discover a security issue, please report it to security@myclass.studio.

9. Cookies and Local Storage

The Service uses browser local storage to maintain your session and remember preferences (such as your active role). We do not use third-party advertising cookies.

10. Third-Party Links

The Service may contain links to third-party websites (e.g., school websites). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top and notify active users via email or an in-app notice at least 14 days before the change takes effect.

12. Governing Law

This Privacy Policy and any dispute relating to it or to our handling of your personal information are governed by the laws of the State of Texas and the United States, without regard to conflict-of-law principles.
